We are looking for an Office & Operations Manager to become the operational backbone of our Paris headquarters. You will ensure that our teams can operate efficiently by managing the office environment, coordinating administrative operations, supporting leadership, and delivering an exceptional experience for employees, visitors, and external stakeholders.
This is a highly visible, high-ownership role at the heart of the company. You will interact daily with engineers, executives, military partners, suppliers, and institutional stakeholders while helping Alta Ares scale its internal operations.
Own the day-to-day operation of the Paris office, including facilities, supplies, equipment, and workspace organization
Manage relationships with landlords, service providers, and suppliers, ensuring service quality and cost efficiency
Coordinate maintenance, deliveries, office improvements, and workspace projects
Maintain a professional, safe, and efficient working environment aligned with Alta Ares' culture and standards
Manage office budgets and proactively anticipate operational needs
Serve as the first point of contact for visitors, customers, partners, and institutional stakeholders
Coordinate meeting rooms, visitor access, demonstrations, and executive visits
Manage incoming calls, mail, deliveries, and courier services
Ensure a welcoming, professional, and security-conscious office environment
Support the CEO and leadership team with travel arrangements, expense management, scheduling, and logistics
Coordinate internal meetings, offsites, and operational projects
Assist with the preparation of presentations, briefings, and internal documentation
Facilitate coordination across teams on operational and administrative topics
Manage onboarding logistics for new employees, including equipment, office access, and workspace setup
Maintain organized records of contracts, suppliers, and administrative documentation
Support finance operations through invoice tracking, purchase order management, and supplier coordination
Help design and improve internal processes, tools, and workflows as the company scales
Organize internal events, team gatherings, offsites, and company celebrations
Coordinate logistics for customer visits, demonstrations, and events hosted at Alta Ares
Contribute to building a positive, rigorous, and mission-driven workplace culture
3–6 years of experience in Office Management, Operations, Executive Assistance, or a similar role
Experience working in a fast-paced startup, scale-up, consulting firm, or professional services environment
Proven ability to manage facilities, suppliers, and administrative operations end-to-end
Experience supporting senior leadership or C-level executives
Previous exposure to defense, aerospace, government, or highly regulated industries is a plus
Exceptionally organized, rigorous, and proactive
Strong interpersonal and communication skills with the ability to interact confidently with a wide range of stakeholders
Highly trustworthy and discreet when handling sensitive information
Resourceful, hands-on, and execution-oriented
Comfortable managing multiple priorities in a dynamic environment
Fluent in both French and English
Proficient with modern office and productivity tools (Google Workspace, Notion, expense management tools, etc.)
