The role is part of RFP & Contracting Team within Sales & Efficiency department, with the main responsibility to support Corporate KAMs (Key Account Managers) in successful Corporate Contract processing. Managing and handling the administration of the tasks related to successful Corporate RFPs finalisation, using the various tools such as Cvent, ANAIS, HRS (and other external RFP Providers), Tableau, GDS.
Your mission:
RFP Management
Support Key Account Managers to prepare, launch and complete the contracting process. This also involves contacts with hotels and external RFP providers in charge of those contracts. Support the KAMs in management of opportunities in B2B CRM tool (Cvent & ANAIS).
Knowledge & Trainings
Attend regular calls and support trainings to improve the knowledge of the tools. Seek internally and externally information to ensure the work is done efficiently and knowledge is up to date. Collect the needs from KAMs, Hotels, RFP & Contracting Team to provide them to the central team, for a future enhancement of the tools
Rate Loading
Support KAMs and with RFP loading to external tool with focus on HRS

Export file with completed bids from Cvent

Import hotels' bids into client's system (e.g. HRS, ReadyBid etc).

Manual correction requested in the exported file.

Send emails to all of the hotels to provide additional information (e.g. client decided to add/change custom questions).
GDS Loading
Process GDS Loading for the Clients:
-
Cross reference the data in Client’s RLI and what is showing in ANAIS - Update the data if needed
-
Complete Account Profile in the Rate Loading section with the information needed to complete the GDS loading process

Monitor the progress and keep KAMs updated
Rate Audits
Upon receipt of SR download documents and format into a working document that can be shared with the KAM and Client

Review each hotel for errors, blackout dates, loading issues
-
If errors are present, action to have issues resolved with hotels or via the WN team
-
Utilize the GDS systems to investigate issues
-
Compile all notes into the working document and upload back into the SR for the KAM to share with the client
-
Continue to follow up on any pending issues
