If you're the kind of person who can't look at a clunky spreadsheet or a tangled process without wanting to rebuild it properly, keep reading.
Symrise University is a newly created Group University, which means the operational engine behind it is still being built. That's where you come in. This role is the backbone of how our learning programs actually run: the budgets, the vendors, the data, the systems. It's hands-on, detail-heavy work - and for the right person, it's a playground. You'll inherit processes that are still taking shape and have real autonomy to standardize them, automate the repetitive parts, and turn manual work into clean, reliable systems.
You'll get end-to-end visibility across L&D, Finance, Procurement, hands-on mastery of Workday Learning, and a front-row seat to how the learning function of tomorrow gets built. It's also a launchpad. People who do this well don't stay in one lane - they grow into operations, program management, process ownership. We'd like to help you get there.
What you'll do
Own the numbers. Track L&D spend, consolidate costs by program, entity, and vendor, analyze variances, and produce reporting people actually trust - budget vs. actuals, trends, risks, and what to do about them.
Keep the machine reliable. Manage purchase orders, invoices, and contracts end-to-end, keep documentation traceable and audit-ready.
Run the vendor relationships. Handle quotes, contracts, and invoicing, keep delivery on time and on quality, and solve the inevitable operational snags.
Operate the programs. Manage the full operational layer - session setup, enrollments, participant tracking, logistics, communications, and documentation.
Make Workday Learning sing. Manage catalogs, sessions, audiences, costs, and vendors; build data-quality checks; and hunt down inconsistencies before they become problems.
Build the toolkit. Create the guides, templates, checklists, and FAQs that make rollout repeatable, and train local and regional teams to use them.
Find the better way. Spot the manual, repetitive, and error-prone parts of the job and improve them - through cleaner process, smarter use of the tools, or automation. This isn't a side hope; it's part of the job.
About you
What you bring
4–6 years in operational coordination, HR/L&D administration, controlling, or PMO, ideally somewhere with real operational complexity.
Comfort with budgets and cost consolidation, and a working understanding of financial flows (procure-to-pay, closing).
Experience coordinating vendors and managing service delivery.
Unafraid to get hands-on with an LMS (Workday Learning is a real plus) and a genuine love of clean, reliable data.
Advanced Excel - pivot tables, formulas, consolidation, reconciliation are second nature - and the instinct to push beyond it toward automation.
A real drive to standardize, simplify, and improve, paired with the rigor to keep things accurate, traceable, and audit-ready.
Strong organization and the calm to juggle many moving parts under deadline.
A curiosity about tech, tools, and automation - and the itch to make things run better.
Fluent English, your working language.
Degree in HR, Business, Finance, Operations, or similar is welcome — but we care more about how you think than what's on your diploma.
