Technical/Compliance Administrator – JLL/FCDO France
About the Role
JLL seeks an organized Compliance Administrator for our FCDO France operations. You will manage preventive maintenance scheduling, work orders, and documentation compliance. You'll be the link between external vendors and JLL, ensuring data accuracy and audit readiness. Full training provided.
Key Responsibilities
Vendor Management
Main contact for external vendors and JLL France team
Schedule preventive maintenance visits on time
Review vendor reports for quality and completeness
Follow up on missing or incorrect information
Communicate compliance requirements clearly
Maintenance & Work Orders
Check preventive maintenance schedules in Corrigo daily
Track work order completion and deadlines
Ensure reports are attached to work orders correctly
Use flagging system to highlight priorities and delays
Chase overdue reports
Remedial Work
Identify required corrective actions from maintenance reports
Create and track remedial work orders in Corrigo
Prioritize based on urgency
Follow up on outstanding items
Maintain clear audit trails
Documentation
Upload reports to Virtual Library
File documents physically and digitally per JLL/FCDO standards
Maintain accurate logbooks
Ensure audit-ready documentation
Track work order lifecycle from start to completion
Quality Control
Review reports for accuracy before acceptance
Return incomplete reports with clear feedback
Conduct regular documentation audits
Identify and fix compliance gaps
Requirements
Language: Fluent English and French (essential)
Technical Skills: Comfortable with Outlook, Excel, Word, and email. Able to learn new systems (Corrigo training provided).
Personal Skills: Highly organized, detail-oriented, able to manage multiple deadlines, strong communication, proactive, diplomatic.
Experience: Administrative or coordination experience. Experience with external suppliers preferred. Facilities management experience valued.

Suivre l'achèvement des bons de travail et les délais
S'assurer que les rapports sont correctement joints aux bons de travail
Utiliser le système de signalement pour mettre en évidence priorités et retards
Relancer les rapports en retard
Travaux correctifs
Identifier les actions correctives requises dans les rapports de maintenance
Créer et suivre les bons de travail correctifs dans Corrigo
Prioriser selon l'urgence
Suivre les éléments en suspens
Maintenir des pistes d'audit claires
Documentation
Télécharger les rapports dans Virtual Library
Classer les documents physiquement et numériquement selon normes JLL/FCDO
Maintenir des registres précis
Assurer documentation conforme aux audits
Suivre le cycle de vie des bons de travail du début à la fin
Contrôle qualité
Examiner les rapports pour exactitude avant acceptation
Retourner rapports incomplets avec commentaires clairs
Effectuer audits réguliers de documentation
Identifier et corriger les lacunes de conformité
Exigences
Langue : Français et anglais courants (essentiel)
Compétences techniques : À l'aise avec Outlook, Excel, Word et courriel. Capable d'apprendre nouveaux systèmes (formation Corrigo fournie).
Qualités personnelles : Très organisé, attentif aux détails, capable de gérer plusieurs délais, bonne communication, proactif, diplomatique.
