About the job
Based at Mandarin Oriental Lutetia, Paris within the Finance Department, the Purchasing Assistant reports to the Purchasing Director.
As Purchasing Director, you will be responsible for the following duties :
Purchasing Coordination within the Hotel
- Coordinate purchasing activities across the hotel’s various departments.
- Ensure the best value for money while complying with the hotel’s standards, particularly in terms of CSR and sustainability.
- Manage ad hoc issues with suppliers.
- Source new products and suppliers for specific purchasing requirements.
Supplier Management
- Conduct supplier audits.
- Manage supplier information and records across the various procurement tools.
- Participate in tenders and analyze bids.
- Assist in managing supplier disputes and claims.
- Monitor invoice payments in collaboration with the Accounting Department.
Purchasing / Accounting
- Update the procurement software (ADACO) with approved suppliers and negotiated commercial terms.
- Ensure that negotiated prices are correctly applied and payment terms are respected.
- Perform administrative matching and reconciliation of purchase orders and delivery notes.
Purchasing / Stores & Receiving
- Provide logistical and administrative support for storekeeping activities and goods receiving.
- Manage inventory and stock levels, including stocktaking.
As Purchasing Assistant, we expect from you:
- Previous experience in a similar position is required.
- Fluency in French and a professional level of English are essential.
- Knowledge of the hospitality and catering industry is required.
