Key Responsibilities:
- Efficiently manage a high volume of daily email correspondence with professionalism and accuracy.
- Process enrolments and registrations for course participants in France and Ireland, ensuring data accuracy and confidentiality.
- Collaborate effectively with local management and international offices, following instructions and maintaining clear communication.
- Provide a warm, professional reception and high-quality customer service to visitors, leaving a positive impression of the academy.
- Assist teachers, staff, and course participants by answering queries, preparing documentation, and handling printing and photocopying tasks.
- Adapt quickly and professionally to changing situations and priorities.
- Showcase enthusiasm and appreciation for French culture, fostering cultural exchange for our European program attendees.
- Coordinate course logistics, including scheduling, trainer assignments, room setup, and bookings.
- Reconcile a high volume of participant payments accurately and enter payment and credit notes into our financial system.
- Support social activity coordination and excursion bookings to enhance participants’ experience.
- Capture and share photos of academy events for social media promotion (liaising with the main office).
- Maintain stock levels of training materials and office supplies.
- Prepare training rooms with refreshments such as coffee, tea, fruit, and snacks to ensure participant comfort.
- Responsible for opening and closing the venue, securing the premises, and managing alarms and general building needs if required.
Essential Requirements:
- Ability to work efficiently under pressure in a busy, dynamic environment.
- Excellent written and verbal communication skills in both English and French.
- Proficient typing skills with strong attention to detail.
- Experience in enrolment, invoicing and invoice tracking.
Desirable Skills:
- Previous experience in customer-facing roles.
- Administrative experience, including data entry and scheduling.
- Confident user of Microsoft Office suite (Word, Excel, Outlook, Teams and PowerPoint).
- French and another European language would be appreciated.
